What are the Merge Fields for Finance Fields?

A merge field can be added to any custom letter using the {mergeField} format.  Each custom field in your Custom Forms database has a code.  


Here is a list of System Fields that can be used as merge fields in your custom letters:

Single Invoice/Payment Fields

{invoiceDate}

invoice or payment date

{invoiceNumber}

invoice or payment number

{invoiceTotal}

invoice or payment amount

{invoiceBalance}

after balancing, invoice or payment balance

{invoiceDueDate}

invoice date + 30 days

{invoiceDueDate15Days}

invoice date + 15 days

{paymentType}

If payment - the type of payment made (ie. cash, check)

{payInvoiceNow}

Add a live link to the Pay the Invoice Balance (NOW).  This will AUTO–BALANCE the invoice and payment to 0.00.

{ledgerComments}

All comments related to this invoice / payment



Statement Fields

{balanceOnAccount} or

{statementBalance}

The current account balance.

{statementData}

SHOWS AS A TABLE
List of all invoices with balances owing are included on this statement along with respective invoice information.

{statementAllData}

SHOWS AS A TABLE
List of all invoices with balances owing are included on this statement along with respective invoice information AND all line items from each invoice.

{allAccountData}

SHOWS AS A TABLE
List of all invoices are included on this statement along with respective invoice information.

{allAccountAllData}

SHOWS AS A TABLE
List of all invoices are included on this statement along with respective invoice information AND all line items from each invoice.

{payStatementNow}

Live link to the Pay the Statement Balance (NOW). This will post a deposit to the student account.  Unlike the self pay for invoice - this will NOT auto=balance.



Payment Activity

{beginningBalance}

Balance on account before payment(s) are applied.

{endingBalance}

Balance on account after payment(s) are applied.

{paymentActivity}

SHOWS AS A TABLE
Payment details as they are applied to an invoice. This will show how payments received have been applied to an invoice.



Pending Payments

{pending_amount}

The amount of funds committed to this aid transaction

{pending_cohort}

The cohort that this aid transaction is committed to

{planContract}

Payment Plan Contract Number

{payment_dueDate}

Payment Plan Due Date

{pending_fundingSource}

The source of the aid

{pending_pendingDate}

The date the aid was posted as pending

{pending_acceptedDate}

The date the aid offer was accepted by the student

{pending_withdrawDate}

The date the aid offer was withdrawn by the school

{pending_declinedDate}

The date the aid offer was declined by the student

{pending_awardedDate}

The date the aid as posted / awarded to the student

{pending_expiryDate}

The date the aid offer to the student expires

{pending_all_grid} or {pendingAid}

SHOWS AS A TABLE
List of all pending aid offers to the student



Payment Plans

{plan_cohort}

The cohort that this contract applies to

{planContract}

Payment Plan Contract Number

{plan_contractDate}

The starting date of the payment contract

{plan_contractAmount}

The total dollar value of the payment contract

{plan_balanceAmount}

The current balance of the payment contract

{paymentPlan}

SHOWS AS A TABLE
List of all pending and paid payments for the contract.
